Bookings & Payments

A booking is considered confirmed only after:

For tours requiring installment payments, the remaining balance must be paid on or before the due date communicated during booking.

Failure to make payments within the specified time may result in cancellation of your booking.

Pricing

All tour prices are published in the currency specified on the booking page.

Prices may change without prior notice before a booking is confirmed. Once your booking has been confirmed, the agreed tour price will remain unchanged except where additional government taxes, park fees, permits, or other mandatory charges are introduced after confirmation.

Passport, Visa & Travel Documents

Participants are solely responsible for obtaining and carrying all required travel documents, including:

• Valid passport
• Appropriate visas
• Government-issued identification
• Vaccination certificates (where applicable)
• Any other documentation required by the destination country

Indian Photo Expeditions may provide guidance regarding travel requirements; however, obtaining and maintaining valid travel documentation remains the sole responsibility of the participant.

We shall not be liable for denied boarding, visa refusals, immigration issues, or losses arising from incomplete or invalid documentation.

Travel Insurance

We strongly recommend that every participant obtain comprehensive travel insurance before the commencement of the tour.

Your policy should ideally include coverage for:

• Medical emergencies
• Trip cancellation
• Trip interruption
• Personal accident
• Emergency evacuation
• Loss or theft of baggage
• Loss or damage to photography equipment

Indian Photo Expeditions is not responsible for any financial losses resulting from participants choosing not to obtain adequate insurance coverage.

Health & Fitness Requirements

Many of our tours involve early mornings, extended travel, walking over uneven terrain, varying weather conditions, and remote locations.

By booking a tour, you confirm that:

• You are medically fit to participate.
• You have disclosed any medical conditions that may affect your participation.
• You understand the physical requirements of the selected tour.

If we reasonably believe that your health or conduct poses a risk to yourself or other participants, we reserve the right to refuse participation or require you to leave the tour without refund.

Assumption of Risk

Photography travel often involves inherent risks that cannot be entirely eliminated.

These risks may include, but are not limited to:

• Wildlife encounters
• Mountain or coastal terrain
• Remote locations
• Extreme weather conditions
• Road travel
• Air travel delays
• Equipment damage
• Illness or injury
• Political or civil disruptions
• Natural disasters

By participating in our tours, you voluntarily accept these risks and agree that participation is at your own discretion.

Participant Responsibilities

Participants are expected to:

• Follow instructions provided by tour leaders.
• Respect local customs, laws, wildlife, and the environment.
• Behave respectfully toward fellow participants, local communities, guides, and service providers.
• Maintain punctuality throughout the itinerary.
• Use photography equipment responsibly.

Indian Photo Expeditions reserves the right to remove any participant whose behavior is unsafe, abusive, illegal, disruptive, or negatively impacts the experience of others. In such cases, no refund or compensation shall be provided.

Tour Itinerary Changes

Photography tours are influenced by weather, wildlife movement, festivals, transportation schedules, government regulations, and local conditions.

Accordingly, Indian Photo Expeditions reserves the right to:

• Modify itineraries.
• Substitute accommodations.
• Change transportation.
• Rearrange activities.
• Adjust shooting schedules.

These decisions are made solely in the interest of participant safety and to provide the best possible photography experience.

Such changes do not automatically entitle participants to refunds unless specifically stated in our Refund Policy.

Cancellation & Refunds

All cancellations and refund requests are governed by the Indian Photo Expeditions Refund Policy, which forms an integral part of these Terms & Conditions.

Participants are advised to review the Refund Policy before making a booking.

Refund eligibility, cancellation charges, and processing timelines shall be determined in accordance with the Refund Policy in effect at the time of booking.

Personal Belongings & Photography Equipment

Participants are solely responsible for the safety and security of their personal belongings throughout the tour.

This includes, but is not limited to:

• Cameras
• Lenses
• Drones
• Mobile phones
• Laptops and tablets
• Hard drives and memory cards
• Tripods and accessories
• Clothing and luggage
• Personal valuables

Indian Photo Expeditions shall not be liable for any loss, theft, damage, or destruction of personal property arising from accidents, theft, natural disasters, airline handling, transportation providers, accommodation providers, or any other circumstances beyond our reasonable control.

Participants are encouraged to obtain suitable insurance for valuable photography equipment before travelling.

Transportation & Third-Party Services

Indian Photo Expeditions works with independent hotels, transport providers, local guides, restaurants, safari operators, and other service providers.

While we carefully select our partners, these organizations operate independently.

Accordingly, Indian Photo Expeditions shall not be responsible for:

• Flight delays or cancellations
• Airline baggage loss
• Hotel overbooking
• Road closures
• Mechanical breakdowns
• Service interruptions
• Actions or omissions of third-party providers

Any claims arising from such services should be directed to the respective service provider.

Photography & Media Consent

During our tours, workshops, and events, photographs and videos may be captured by our team.

By participating, you grant Indian Photo Expeditions permission to use photographs or videos in which you may appear for promotional and educational purposes, including:

• Social media platforms
• Printed brochures
• Advertisements
• Digital marketing campaigns
• Presentations
• Future promotional materials

No royalty or compensation shall be payable for such use.

If you prefer not to appear in promotional material, please notify us in writing before the commencement of your tour. We will make reasonable efforts to accommodate your request.

No material may be copied, reproduced, distributed, modified, or commercially exploited without our prior written permission.

Workshops & Photography Courses

Registration for any workshop or photography course confirms your acceptance of these Terms & Conditions.

Indian Photo Expeditions reserves the right to:

• Change workshop venues.
• Modify schedules.
• Replace instructors with equally qualified professionals.
• Update course content.
• Cancel or reschedule workshops due to unforeseen circumstances.

Where a workshop is cancelled by Indian Photo Expeditions, participants will be offered either an alternative date or an applicable refund.

Participants are expected to conduct themselves respectfully throughout the workshop. Any disruptive or inappropriate behaviour may result in removal without refund.

Course materials provided during workshops remain the intellectual property of Indian Photo Expeditions and may not be reproduced, distributed, or sold without written permission.

Private & Customized Photography Tours

Private tours are designed according to the participant’s specific travel requirements.

Once an itinerary has been approved and bookings have been confirmed, modifications requested by the participant may result in additional costs.

Indian Photo Expeditions will make reasonable efforts to accommodate requested changes; however, changes remain subject to availability and supplier policies.

Completion of the planned itinerary constitutes delivery of the contracted service.

Participant Conduct

To ensure a safe and enjoyable experience for everyone, participants are expected to behave responsibly throughout the tour.

Participants must not:

• Engage in illegal activities.
• Harass or intimidate other participants.
• Endanger wildlife or damage natural habitats.
• Disrupt scheduled activities.
• Damage hotel or transportation property.
• Ignore safety instructions issued by tour leaders.

Indian Photo Expeditions reserves the right to terminate the participation of any individual whose behaviour is considered unsafe, abusive, disruptive, or unlawful.

In such cases, the participant shall be responsible for any additional travel or accommodation expenses incurred, and no refund will be provided.

Health & Medical Emergencies

Participants remain responsible for their own medical expenses during the tour.

In the event of illness or injury, Indian Photo Expeditions may assist in arranging medical treatment where reasonably possible and proceed with the remainder of the tour; however, all associated costs shall be borne solely by the participant.

We cannot guarantee the availability of medical facilities in remote destinations.

Participants with pre-existing medical conditions should consult their physician before booking a tour and should carry all necessary medications throughout the journey.

Limitation of Liability

Indian Photo Expeditions acts as an organizer and coordinator of photography tours, workshops, expeditions, and related travel services.

To the fullest extent permitted by applicable law, Indian Photo Expeditions, its owners, employees, tour leaders, contractors, partners, and representatives shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from participation in our services, including but not limited to:

• Personal injury or illness
• Death
• Loss or theft of personal belongings
• Damage to photography equipment
• Missed flights or travel connections
• Delays caused by transportation providers
• Changes in accommodation or itinerary
• Loss of business, income, or profits
• Emotional distress or inconvenience

Our total liability, where legally applicable, shall not exceed the amount paid by the participant for the specific service booked.

Force Majeure

Indian Photo Expeditions shall not be held responsible for any delay, cancellation, modification, or failure to perform its obligations where such events are beyond our reasonable control.

• Floods
• Earthquakes
• Landslides
• Severe weather conditions

• Government restrictions
